Notes on Health, Safety and Travel during a pandemic
UK activity days, camps and trips
Activity days, camps and trips will go ahead unless there is a government directive that they should not and provided we have sufficient staff available to run them.
In addition to the strict food and camp hygiene standards that are already implemented, the following additional precautions will be put in place:
1. Students, staff and other attendees will be reminded of the safest handwashing and personal hygiene standards in line with government advisories on the matter.
2. All equipment items will be sterilised using gels, sprays, heat/UV or washed with soap and water as is practicable.
3. Anyone displaying signs of possible Coronavirus symptoms will be asked not to attend. Should signs appear during an event, they will be asked to go home or self-isolate as necessary.
4. Attendees (or their school leaders) will be expected to bring and use sanitising gels of their own and to take such other precautions during events as they deem appropriate.
5. Government advice will be monitored throughout any extended camp and actions taken as necessary.
6. Should first aid need to be administered, this will be executed according to best available hygienic practices
Further detail is outlined in the Polaris Outdoor Covid Risk Assessment. Should an activity day or camp need to be cancelled or abandoned, the Customer will be offered an alternative future date to complete or run it once able and safe to do so.
Should attendees decide not to participate, fees may not be refundable. This will be considered on a discretionary basis taken from a business continuity perspective.
Overseas Trips
In terms of managing activities with regards to Coronavirus prevention, the same points 1-6 will be observed. Overseas trips will go ahead unless the foreign office advises otherwise.
Participants are required to have their own travel insurance or contingency funds in place to cover such eventualities as having to stay in quarantine or isolation for instance – considering food and accommodation for example. Refunds for flights will only be payable to the extent that airlines refund
them.
The same will apply to accommodation and other transport suppliers.Should attendees decide not to participate, fees may not be refundable. This will be considered on a discretionary basis taken from a business continuity perspective.
Should our staff become quarantined due to Coronavirus and the trip unable to run, participants shall be required to seek compensation from their own travel insurance provider.
